BBQ Trailer Hire: Terms and Conditions

The trailer is provided in a working, clean, food-safe condition and must be returned in the same state.

Failure to meet these standards will result in a forfeiture of part of the security bond for repairs or cleaning.

1. Cleaning Requirements

  • Your Kitchen Equipment: As part of your food handling setup, you will have your own cleaning kit (e.g., paper towels, water, soap, gloves, sanitiser, spray, dustpan, garbage bags, etc.). You are expected to use this to leave the BBQ hygienic and clean for the next user.
  • BBQ: Plates and racks must be scraped of all food residue and thoroughly cleaned. Finish with a light coating of clean oil applied to the hotplate once clean.
  • Drip Trays: Grease trays must be emptied, washed with hot soapy water, dried, and left on top of the hotplate. If hot water is unavailable, wipe them out thoroughly.
  • Surfaces: All tables and food delivery surfaces must be wiped with food-safe sanitiser, including wheel arches and areas around the BBQ.
  • Storage & Utensils: Borrowed utensils must be wiped before returning. Interior storage compartments must be swept and cleared of rubbish.
  • Gas: Bottle valves must be turned off for transport. Any half-empty bottles must be replaced before returning.

2. Insurance & Liability

The Hirer accepts full responsibility for the trailer from pickup until official return.

  • Hirer Liability: The Hirer is strictly liable for loss, theft, or damage to the trailer, accessories, and third-party property.
  • Towing Vehicle: The Hirer must ensure their vehicle has Comprehensive Motor Vehicle Insurance covering trailer towing. The Rotary Club’s insurance does not cover the Hirer’s vehicle.
  • Public Liability: For events on public land, the Hirer may need to provide a Public Liability Insurance Certificate of Currency ($10M–$20M).
  • Indemnity: The Hirer indemnifies the Rotary Club against all claims or injuries arising from the use of the trailer.

3. Operational Safety & Compliance

  • Driver Requirements: Drivers must hold a valid Australian licence and be competent in towing. Electrical connection to car indicators is mandatory.
  • Tow Rating: The vehicle must have a manufacturer-approved tow rating suitable for the trailer’s gross and ball weight.
  • Road Rules: The Hirer is responsible for all traffic infringements, tolls, and fines.
  • Equipment Use: The BBQ must be operated according to health and fire safety regulations. Using either hot-plate without extending the draw-slides, will damage parts of the vehicle that is not heat resisitant.  The fire extinguisher must remain on the trailer incase it is needed.

4. Faults & Damage 

  • Reporting: Any mechanical faults or accidents must be reported immediately.
  • Repairs: Do not attempt repairs without prior written authority, except for emergency safety reasons.
  • Security: All reasonable precautions must be taken to avoid theft or destruction of property.

I accept these conditions and ensure the BBQ Trailer will be used safely. I will return the trailer in good condition at the agreed time.

As the Hirer, responsibility rests with me to oversee training and equipment usage to all users during my rental.
